ANNUAL PROCEDURES

Elementary School
  • Start of the year:
    • Generate class lists.
    • test new students
    • Meet with teachers to inform them about EAL students; create Push In schedule with specific teachers
    • Send out letters to all EAL students' parents
    • Powerschool: update student support levels and test scores
    • Develop TA schedule and responsibilities
  • Each Grading Period
    • Gather data from teachers regarding all EAL students' classroom performance level
    • Gather substantiated information regarding student progress in their English language development
    • Report on current support provided and/or progress in language acquisition
  • January:
    • Prepare for new students - check new and transfer student folders
    • Update Powerschool for any EAL changes or additions
    • Send letters to parents regarding EAL student program changes (Entering EAL Program, "Exit" Monitor students, Pull Out to Push In, Push In to Pull Out, etc.)
  • February/March
    • 5th Grade EAL teacher to connect with Middle School EAL transition
    • Predicted numbers due to Admission by determined date
    • Work with teachers to accommodate for MAP testing
  • Spring
    • Start Kinder testing
    • Start End of the Year testing
    • Collaborate with teachers to determine support level for following year
    • Update Powerschool with holistic WIDA levels and Predicted student support level for following year
  • End of the Year
    • Send out letters to parents regarding EAL student program changes for the following year (Entering EAL Program, "Exit" Monitor students, Pull Out to Push In, Push In to Pull Out, etc.)
    • Document class rosters for the following year and provide copies to appropriate teachers
    • Update student in-house files
      • Spring testing scores
      • Support level for following year
      • Copy of Report Card
      • Record of Letters and other communication with parents

Elementary School to Middle School
  • List of students & levels passed to 6th grade EAL teacher and counselors in May. Student records passed up in June.
  • Check list of EAL students.
  • Provide EAL support list/class schedule to Core teachers.
  • Send program information letters home to all EAL students/parents.
  • Q1 all EAL (push-in) students allocated to EAL Elective.
  • T1 Report Card
  • T2 Report Card
  • Q3 all EAL students (push/pull) given the WIDA Model test.
  • Q3 Send list of students to counselors for schedule
  • Q4 Send placement letter to parents
  • Q4 Update EAL data and support level in PowerSchool
  • T3 Report Card + letter

Middle School to High School
  • WIDA Model testing in Q3. List of students & levels passed up to 9th Grade EAL teacher.
  • Q4: Student records transferred to 9th Grade EAL teacher.

High School
  • Q1 all EAL Pull-Out students allocated to Academic Literature course. All EAL (both Push-In and Pull-Out) allocated to ESOL Flex course.
  • Q3 all EAL students (push/pull) given the WIDA Model test.
  • Q3 Send list of students to counselors for schedule
  • Q4 Send placement letter to parents
  • Q4 Update EAL data and support level in PowerSchool and electronic notebooks
  • Send Q4 narrative to students/parents
